The Association of Swift Pensioners (in formation) — hereinafter "VG Swift" — values the protection of your personal data. This statement explains what data we process, for what purposes, and what rights you have. We comply with the General Data Protection Regulation (GDPR).

Please note: the association is still being formed. The founding committee currently acts as the data controller. Once the association has been formally established, this statement will be updated and the board will take over this role.

2. What data do we process?

We process only data that you provide to us yourself:

  • Contact details — your name and email address when you register as an interested party or (later) as a member.
  • Telephone number — only if you have asked to be added to our WhatsApp group.
  • Content of your messages — the correspondence you exchange with us by email or WhatsApp.
  • Voluntarily shared information — for example details about your pension situation when you share these in the context of representing your interests.

We do not process special categories of personal data (such as health, religion, political views) unless you share them on your own initiative and give explicit consent.

3. Why do we use your data?

  • To keep you informed about the formation and activities of the association.
  • To add you to the WhatsApp group, if you have indicated that you would like this.
  • To respond to your questions or requests.
  • To represent the collective interests of pensioners, such as when pursuing indexation of the insured pension.
  • For member administration and fee processing once the association has been formally established.

4. On what legal basis?

We process your data on the basis of:

  • Your consent — given when you register by email or WhatsApp.
  • Legitimate interest — when representing the shared interests of (former) Swift employees, such as in collective action concerning pension indexation.
  • Performance of an agreement — once you are a formal member, for member administration.

5. How long do we retain your data?

We do not retain your data longer than is necessary for the purpose for which it was collected. Specifically:

  • Data of interested parties: until the formation is complete or until you unsubscribe.
  • Member data: for the duration of the membership plus a maximum of two years afterwards for administrative wind-down.
  • Correspondence: at most seven years when it has file value (for example in an ongoing legal matter), otherwise shorter.

6. With whom do we share data?

We do not pass your data to third parties for commercial purposes. Sharing only takes place in the following situations:

  • With a legal adviser or lawyer, if necessary for representation of interests and you have been informed about this.
  • With our hosting provider for the management of email and the website.
  • When we are legally obliged to do so.

When added to the WhatsApp group, your phone number becomes visible to other group members. WhatsApp is managed by Meta; Meta's privacy policy also applies to that use.

7. Security

We take appropriate technical and organisational measures to protect your data against loss or unauthorised access. Our email and website are hosted by a Dutch provider with standard security measures.

8. Your rights

Under the GDPR you have the following rights:

  • Access — request which data we process about you.
  • Rectification — have incorrect data corrected.
  • Erasure — have your data deleted.
  • Restriction — have processing temporarily stopped.
  • Portability — receive your data in a common format.
  • Objection — object to the processing of your data.
  • Withdraw consent — at any time, without giving reasons.

9. Website and cookies

Our website uses no tracking or analytical cookies. We do not track your browsing behaviour and do not share data with advertising parties.

For the typography on the website we currently use Google Fonts. This may involve passing your IP address to Google. We are exploring a move to locally hosted fonts to remove this dependency as well.
